Terms and Conditions for Hillcrest Cottage

It is the responsibility of the bookee/guest to ensure that all guests/visitors have read & agreed to the abide by the Terms & Conditions for Hillcrest cottage. By proceeding with the booking, you and all guests are agreeing to the conditions of rental.

1) PAYMENT via credit or debit card in GB pounds sterling

2) REFUNDABLE  DEPOSIT is held against damage/breakage and loss (and cost of our cleaning help having to wait on a late departure if not pre agreed).

Sometimes accidents happen, if so please notify us immediately as it may be “recoverable”.

Please leave the cottage clean & tidy, if no damage/breakage or loss, your deposit will be returned to you in full within 7 days of your departure.

A client/ guest may forfeit some, all or maybe be liable for additional cost if;

  1. a) Breakages or damage happens to anything relating to the cottage & facilities made available for guests use.
  2. b) If extra cleaning or specialist cleaning is required
  3. c) Where a guest late departure prevents the clean team or maintenance from access to the cottage.
  4. d) If items are removed from the cottage. Please check if borrowing maps, foldaway chairs , etc during your stay.
  5. e) Vandalism or wilful neglect to the cottage or contents occurs and will be treated very seriously & lead to the immediate termination of the contract, with clients/ guests being told to leave.

3) CANCELLATION POLICY

(PLEASE REFER TO HOLIDAY INSURANCE RECOMMENDATION)

Any cancellation, for whatever reason must be made in writing, by email and ensure we have received it, please contact by phone if you have not heard from us in 24 hours.

a)More than 8 weeks prior to the start date- (less the one off booking fee), the reservation deposit & any balance monies already paid will be returned in full, along with the cautionary refund deposit.

b)At 4-8 weeks, (less the booking fee), then 50% of the monies already paid will be returned in full ,along with any cautionary deposit (held against loss, damage, breakage, extra cleaning).

c)Less than 4 weeks to start date and (less booking deposit), just 20% of the total monies will be refunded, along with the full cautionary refund deposit .

(Any currency/ credit card/ bank costs are the responsibility of the bookee on payments and refunds and will be deducted if applicable).

All payments must be in GB pounds sterling.

In the extremely unlikely event that we need to cancel (ie result of damage to the property), then all monies paid will be refunded. Beyond this we are not held responsible & accept no further liability.

4) CLIENT DETAILS

Only Guests named on the original booking are permitted to stay overnight at Hillcrest Cottage -up to 4 guests (adults and children) + 1 baby under 2 yrs old. Changes to names of those staying must be confirmed by email at least 1 week prior to your arrival date. Non adherence to this ,may render our insurance invalid ,so the entire party will be told to leave with no refund.

5) SORRY NO PETS

I am sorry but we cannot accept pets at Hillcrest Cottage. We, your neighbours have 2+1 dogs, who are very lovable but not allowed in the cottage either. Due to the shared driveway and layering of the garden we cannot adequately fence off the drive and the cottage garden. The cottage garden is private for guests, as our garden is below. So if you do not like dogs please enquire and make us aware- but you may change your mind after your stay!

6) NO SMOKING

It is strictly no smoking in the cottage or on the balcony, where it may drift back into the bedroom, spoiling the next guests stay, but an ashtray is provided outside for outdoor smokers in the garden.

7) CHILDREN

We welcome up to two well behaved children /babies under 10 years old but they must be supervised at all times in & outside the cottage. Please consider the dangers facing children in a new environment. The cottage must not be treated as a playground & murals, however creative, are not acceptable!  We respectfully ask that children do not eat and drink upstairs- pale colours, chocolate fingers & juice don’t mix well THANK YOU!

8)SECURITY & CARE

Please close/lock all windows & doors whenever you leave the property. Our insurance is void if you do not & you would be held liable for any consequential loss or damage to your possessions and ours. Please be responsible in the case of extreme weather & heavy showers which may mark the oak sills or damage textiles if windows or doors are left wide open.

9) PARKING is for one car in the drive & additional cars may be parked in the lane opposite or layby along the road. But feel free to unload & repack all vehicles in the driveway.

We recommend you see each other in & out of the driveway, as it can be a little tricky especially the first time! Allocated & road parking is all at your own risk.

10) ELECTRIC EV car charging points. As yet we don’t have these at the cottage, though we have planning for two in the shared driveway, when we reconfigure next door. Unfortunately until then we cannot offer a charge facility on site, as the constant 3kw drain via a 13 amp plug requires an electrical survey on our house to be safe. The closest public fast charge is 2 miles away next to Stroud’s Vue cinema in the multi storey carpark.

11) RECYCLING

Please join us in careful recycling of waste products- It is quite strict round here. Please follow details in the cottage, so your recycling doesn’t have to be resorted by hand by me- thank you in advance. Any better ideas welcome!

12) DISCLAIMER

We cannot be held responsible for any interruption or irregularity in the supply of electricity, gas, water, TV, phone signal or wifi at the cottage, or for snow, storm, road blockage which may delay your arrival at the cottage.

We are not liable for any accident, damage, loss, injury, expense or inconvenience, to person or property which client/guests or any other person may suffer or occur, arising out of, or in connection with the letting of the cottage.

Whilst every effort is taken to ensure the accuracy of the description of Hillcrest cottage & the facilities on the website, these details may be subject to change. The pictures are all relating to Hillcrest Cottage, taken for the purpose of guest information. Every change we make is an endeavour to improve the visual style and comfort of your stay.

These conditions of rental are in place to ensure that the cottage can be maintained to good standard for all guests to enjoy By proceeding with the booking, you & all guests are agreeing to the conditions of rental.

Your Holiday Insurance

We cannot recommend highly enough that you take out holiday insurance with a reputable insurer to cover you in the event that you have to cancel your holiday, for whatever reason.

There are many organisations offering UK holiday cancellation cover.

It is your responsibility to check that your insurance adequately covers all risks, not  limited to: illness, including Covid related, requirement to self-isolate, accident, bereavement to you, other guests, and /or friends, relatives or pets at home, provision for bad weather in particular snow, should you choose not to travel and /or including met office red/amber weather warnings- you will not be entitled to a refund from us. This you would need to claim from your holiday insurance company. We will provide you with the necessary documentation that your insurance company will require i.e. proof of booking.

If you choose not to take out UK travel insurance, then you accept responsibility for ANY loss that you may incur due to you needing to cancel.
